Engine Ops / 24 is business software built by Sole Design for managing engine and generator service operations. This page explains what data we process, how long we keep it, and how to ask us to delete it.
1. Two separate sets of data
The software is used in two different ways, and the data collected differs accordingly. We describe them separately so they are not confused.
a) The quote form on this website
Visitors requesting a price quote provide the following:
| Data | Why | Retention |
|---|---|---|
| Company name | To know who the quote is for | 2 years |
| Email address | To send the quote back | 2 years |
| Phone number | To call if needed | 2 years |
| Number of users | To calculate pricing | 2 years |
| Your note (optional) | To understand the request | 2 years |
| Browser information | To tell genuine requests from abuse | 2 years |
This information is used only to prepare a quote and reply to you. You are not added to a marketing list, we do not send newsletters, and the data is never shared with or sold to third parties.
When you submit the form we also store an irreversible hash of your IP address. Its only purpose is to stop a single source from sending an excessive number of requests; that record is deleted after one hour and is not stored alongside your request.
b) Companies using the application
For staff invited into the application (manager, sales, technician, warehouse) we process:
- Account details: your name, email address and profile picture from Google Sign-In. Your Google account is used for authentication only; your Gmail content, contacts, calendar and Drive data are not read.
- Location: only for users in the technician role and only while a shift is open. Its purpose is to show on a map which facility the work is happening at, and to verify per-diem calculations. No location is collected once the shift is closed. Before requesting background location access the app states this clearly on a separate screen, and you may decline; the app keeps working if you do.
- Operational data: work orders, service forms, uploaded photos, inventory records, shift and timesheet records, notes.
This data belongs to the company you work for. The application is multi-tenant: each company's data is held in its own space and separated from other companies by server-side security rules. It is retained for the duration of the company's subscription; when the subscription ends the data is deleted at the company administrator's request.
2. Demo mode
When you start the demo from the website, a temporary company filled with sample data is created for you and an anonymous session is opened. That session collects no name, email or location. The demo company and the session are deleted automatically after two hours.
3. Where it is stored
Data is stored on Google Firebase infrastructure (Cloud Firestore, Authentication, Cloud Storage), with servers located in Europe (London, europe-west2). Transfers are encrypted. Access is limited by role-based permissions.
4. Deleting your data
How: email contact@soledesignstore.com and tell us which record you want removed.
How long: we action the request within 30 days at the latest and confirm it to you in writing.
If you are an application user you may also ask your company administrator to delete your account. A request to delete an entire company's data is accepted only from the company administrator.
5. Your rights
You have the right to access the data we hold about you, to have it corrected, to have it deleted, and to object to its processing. The same address covers all of these: contact@soledesignstore.com.
6. Changes
When we update this policy the date on this page changes. If there is a material change to the types of data collected or the purposes of processing, companies using the application are notified separately.
